Sharepoint domain misconfigured

I'm hoping someone can help as we are having issues with our sharepoint domain.

I will try and keep this as short and detailed as possible.

We have our domain, lets call it Xphone.com. In our M365 admin centre, we have Xphone.com set as Default, but there are no Status listed.

Our mail goes through a Sophos mail filter so we don;t want to put in an MX record or anything to do with Skype.

Our domain has been verified under custom domain names in the Azure portal.

Currently our Sharepoint web address is being shown as XphoneOutlook.sharepoint.com. The XphoneOutlook.onmicrosoft.com has been selected as our fallback domain somehow.

We want to get out sharepoint domain to simply be X***phone.sharepoint.com

I believe that if we put a TXT DNS entry in our DNS provider then this will be fixed and the reason we are getting the wrong sharepoint address is because the DNS has not been verified and the X***phoneOutlook as our fallback domain has been verified and is being used instead.

My boss believes that if we don't gain anything by adding the DNS entries here and could in face mess up our mail systems.

Any advice would be appreciated.

Thanks, D

    Hi @Decay1980,

    Hope everything is going well.

Much appreciate for your clarification. I apologize that my previous question didn't address your issue well.

According to the information you provided and the research I have done, I may understand that you want to resolve the issue where DNS Health is showing as “Never checked” and Staus is showing as “No service selected”. If there is anything wrong, please correct me.

Your solution is correct, and yes, setting the correct DNS entries with 123-reg should help resolve the SharePoint Online URL issue.

    1. The "Never Checked" status for your SharePoint domain's DNS health usually means that the DNS records haven't been verified or checked by Microsoft 365 yet. So, as a first step you need to configure all the necessary DNS records (MX, CNAME, TXT) for your DNS provider. References: Connect your DNS records at 123-reg.co.uk to Microsoft 365 Add DNS records to connect your domain
    2. The "No services selected" status for your SharePoint domain typically indicates that the domain has been verified, but the necessary services have not been configured yet. Here are some steps to configure this:
      • Go to the Services tab.
      • Select the services you want to use with this domain (e.g., Exchange, SharePoint, Teams).
      • Click Save to apply the changes.

If there is anything unclear, please let me know.

    Hi @Decay1980,

    Hope everything is going well.

According to the information you provided and the research I have done, I may understand that you need to update your domain name from XphoneOutlook.sharepoint.com to Xphone.sharepoint.com . If there is anything wrong, please correct me.

If there are no problems, it is recommended that you try renaming your SharePoint domain using PowerShell.

There are a few things you should keep in mind before renaming your domain name:

    • Renaming the domain will change all your existing SharePoint sites, OneDrive accounts and SharePoint Embedded containers.
    • Email addresses are not affected, it will keep the original domain name.
    • Renaming will have an impact on certain features and content you already have. Please read the list of these effects to confirm that you will not lose your data.
    • Renaming a domain can only be done once and changes cannot be rolled back.

If you are ready to rename a domain, you can refer to the steps in this article: Change your SharePoint domain name.

    Hi @Decay1980,

Sure, we are always on standby to support you.

Q1: Does the DNS entry in this matter at all?

Yes, modifying a SharePoint domain name involves updating DNS entries. When you change your SharePoint domain, you need to update the DNS records to ensure that the new domain name is correctly mapped to your SharePoint site and OneDrive accounts.

Q2: If we were to select xphone.onmicrosoft.com as our fallback domain would this also change the sharepoint address to xphone.sharepoint.com?

No, fallback domains do not change the domain name in the SharePoint site URL.

Your fallback domain is used by default in:

    • Usernames and email addresses
    • ‎Microsoft 365‎ teams & groups email aliases
    • Automatic domain dependency moves

I tested it again my internal environment:

When I add a new user, the user's email address uses the fallback domain.

    User's image

When I add a new site, the user group's email address uses the fallback domain name but the site's URL stays with the original domain name.

    Hi @Decay1980,

Appreciate for letting us know your user experience.

Concerning the issue you mentioned, we have also done some research and found that you may encounter several issues if you attempt to rename your SharePoint domain and the DNS entries are not fully updated:

    1. Inaccessibility: Sites on the original domain may become temporarily inaccessible until the DNS entries are correctly updated.
    2. Errors: You might see error messages indicating that the domain name isn't valid or that the tenant renaming process can't proceed.
    3. Redirects: The system creates redirects from the old domain to the new one, but these redirects will only work if the DNS entries are properly configured.

It's crucial to ensure that all DNS entries are correctly updated to avoid these disruptions.

Here is some relevant documentation on domain renaming for your reference:
