How to: Set Up Email Notifications

You can define which events, such as an approval, rejection, cancellation, or delegation, trigger an email notification to an approver. The notification indicates that a document is awaiting approval. Mail templates are associated with approval and overdue mail notifications. You can use the default templates provided with Microsoft Dynamics NAV, or you can export, modify, and then reimport them. You specify how you want notifications to be handled in the Approval Setup window.

To set up the notification system

  1. In the Search box, enter Approval Setup, and then choose the related link.

  2. On the Notification FastTab, select the events that you want to trigger a notification from in the Notify User about list.

If approvals have become overdue, you can send an overdue notification mail to the approver. In the Last Run Date field, you can see when you last sent overdue notification mails.

To send overdue notification mail

  1. In the Search box, enter Approval Setup, and then choose the related link.

  2. On the Navigate tab, in the Overdue group, choose Send Overdue Mails.

    The mail messages are sent to the approver.

You can see a list of all overdue approvals in the Overdue Notification Entries window.

To see a list of overdue notification mails

  1. In the Search box, enter Approval Setup, and then choose the related link.

  2. On the Navigate tab, in the Overdue group, choose Overdue Log Entries.

  3. To delete an entry, on the Home tab, in the Process group, choose Delete Entries.

    To review an approval entry, on the Navigate tab, in the Show group, choose App. Entry or Document.

Note

You cannot make modifications, other than deletions, in the Overdue Notification Entries window.
