You can modify the existing quota templates when:
You want to modify the storage limit for any new site collections based on that quota template.
Note
The modified quota template is not automatically applied to any existing site collections that use the quota template. The farm administrator must manually apply any modified values to all of the existing sites that use the quota template.
You need to control the disk space allocated to a site collection.
There are no defined maximum sizes for site collections. For recommendations about sizing content databases and site collections, see Plan enterprise content storage, Best practices for operational excellence, and Physical storage recommendations (Office SharePoint Server).
You can apply the new storage limits defined in the edited template to any new site collection that uses the quota template. A site collection consists of a top-level site and one or more subsites. When you apply a quota template to a new site collection, the storage limit you specify for that site collection applies to the top-level site and the subsites within that site collection. If enabled, versions in a site, as well as content in the Recycle Bins, count toward storage limits. You can specify a percentage of storage quota for the second-stage Recycle Bin. If you want to update existing site collections, you must manually update the quota values for the site collections. Updating the quota template will not apply the changes to existing site collections.
When the site collection reaches the maximum storage level, an e-mail message that contains information about the issue is sent to the site administrator. The site administrator can either delete unused content from the site collection or contact the farm administrator to increase the limits. The farm administrator can do either of the following to change the limits:
Change the quota template assigned to the site collection to a different quota template that has a higher storage limit. This automatically increases the limits for the site collection to the limits in the different quota template. This is the preferred method, because you still have a quota template’s values applied to the site.
Change the storage limit for the site collection manually. This makes the limits for the site collection different from those in the quota template.
You must be a member of the Farm Administrators group to manage the site collection quota.
Change quota templates
Use this procedure to change or edit quota templates.
Change or edit quota templates by using the SharePoint Central Administration Web site
On the Central Administration home page, click Application Management.
On the Application Management page, in the SharePoint Site Management section, click Quota templates.
On the Quota Templates page, in the Template Name section, in the Template to modify list, select the template that you want to change.
In the Storage Limit Values section, set the values that you want to apply to the template.
If you want to restrict the amount of data that can be stored in the database, select the Limit site storage to a maximum of check box, and then type the storage limit in megabytes in the text box.
If you want an e-mail message to be sent to the site collection administrator when a certain storage threshold is reached, select the Send warning E-mail when site storage reaches check box, and then type the threshold in megabytes in the text box.
Click OK to modify the quota template, or click Cancel to cancel the operation and return to the Application Management page.
Update a site collection to use a new quota template
If a site collection is close to exceeding its storage limits, and you want to allow it to grow, you can change the quota template applied to the site collection to a quota template that has higher limits. This automatically updates the warning and storage limits for the site collection, while staying in sync with the values specified in a quota template. Use this procedure to change the quota template for a site collection.
Change the quota template for a site collection
On the top navigation bar, click Application Management.
On the Application Management page, in the SharePoint Site Management section, click Site collection quotas and locks. The Site Collection Quotas and Locks page opens.
If you want to change the selected site collection, in the Site Collection section, on the Site Collection menu, click Change Site Collection. Use the Select Site Collection page to select a site collection.
In the Site Quota Information section, under Current quota template, select the new quota template to apply.
Click OK.
Update a site collection to have new storage limits
Changing the quota template values does not change the values for any existing site collections based on that template. If you have an existing site collection and need to change the storage limits for the site collection, you must do so manually. Use this procedure to change the storage limits for a site collection.
Change the storage limits for a site collection
On the top navigation bar, click Application Management.
On the Application Management page, in the SharePoint Site Management section, click Site collection quotas and locks. The Site Collection Quotas and Locks page opens.
If you want to change the selected site collection, in the Site Collection section, on the Site Collection menu, click Change Site Collection. Use the Select Site Collection page to select a site collection.
In the Site Quota Information section, select the Limit site storage to a maximum of check box, and then type the maximum value in megabytes.
Select the Send warning e-mail when site storage reaches check box, and then type the warning value in megabytes.
Click OK.
