Event ID 32073 — Fax Archiving Configuration

You can use Fax Service Manager to configure archiving for faxes that are successfully sent or received. You can specify for how many days faxes are kept in the archive. If you do not specify a value, faxes will remain in the archive until they are deleted manually.

You can also track the size of the archive by setting maximum and minimum quota limits. A maximum quota limit specifies the size at which an event warning will be issued. A minimum quota limit represents the size at which the archive event warning is reset. This means that once the maximum limit is reached and an event is issued, the event will not be issued again until the archive size drops below minimum limit.

Resolve

Reset the maximum quota limit

If the number of faxes that you have in the archive exceeds the maximum quota limit that you have set, faxes will no longer be archived. The Fax service will generate a warning first, and then stop archiving when the limit is exceeded. 

You should either increase the maximum quota limit, or delete some faxes in the archive folder.

To configure fax components, you must be a member of the Administrators group or you must have been delegated the appropriate authority.

To reset a maximum quota limit for fax archiving for a fax server:

  1. To open Fax Service Manager, click Start, point to Administrative Tools, and then click Fax Service Manager.
  2. In the left pane, right-click Fax and then click Properties.
  3. On the Archives tab, under Archive rules, provide a new value for the maximum limit. The default is 1 MB. The limit that you set will depend on your disk size.

Verify

To confirm that archiving is working correctly, you should:

  1. Verify that archiving is enabled and view the archive folders to confirm that sent and received faxes are appearing.
  2. Verify the configuration for archiving.
  3. Verify that the volume where the archive is located is not full.
  4. Verify that the destination folder for the archived faxes exists and security permissions for that folder are configured correctly.

Verify that archiving is enabled

To verify that faxes are being archived:

  1. To open Windows Explorer, right-click Start, and then click Explore.
  2. In the left pane, click the disk that contains the operating system.
  3. On the toolbar, click Organize, click Folder and Search Options, click the View tab, and then click Show Hidden Files and Folders. Close the dialog box.
  4. In Windows Explorer, navigate to %systemdrive%\ProgramData\Microsoft\Windows NT\MSFax.
  5. Faxes are archived in the Inbox folder and the SentItems folder. Double-click those folders to confirm that faxes are accumulating.

Verify configuration of fax archiving

To verify the configuration of fax archiving for a fax server:

  1. To open Fax Service Manager, click Start, point to Administrative Tools, and then click Fax Service Manager.
  2. In the left pane, right-click Fax and then click Properties.
  3. On the Archives tab, under Archive folder, confirm that the Archive all faxes to this folder check box is selected and that the path to the archive folder is correct. The default path is %systemdrive%\ProgramData\Microsoft\Windows NT\MSFax.
  4. Under Archive rules, do the following:
    • Confirm maximum and minimum quota limits.
    • Confirm the value for Automatically delete faxes older than <number> days.

Verify that the volume is not full

To verify that the volume used for fax archiving is not full:

  1. To open Disk Management, click Start, click Run, and then type: diskmgmt.msc.
  2. Click View, click Top, and then click Volume List.
  3. For the volume that contains the archive, view the Capacity, Free Space, and % Free columns.

Verify permissions for the archiving folder

To verify the permissions for the archiving folder:

  1. To open Windows Explorer, right-click Start, and then click Explore.
  2. In the left pane, click the disk that contains the operating system.
  3. On the toolbar, click Organize, click Folder and Search Options, click the View tab, and then click Show Hidden Files and Folders. Close the dialog box.
  4. In Windows Explorer, navigate to %systemdrive%\ProgramData\Microsoft\Windows NT\MSFax.
  5. Right-click the MSFax folder, click Properties, and then click the Security tab.
  6. Verify that the folder has write permissions for the Network Service account.
