Edit properties and scope rules for a shared scope (Office SharePoint Server 2007)

Use this procedure to change the properties and scope rules of an existing shared scope.

Note

To create a new scope rule for a shared scope see Add a scope rule for a shared scope (Office SharePoint Server 2007).

Important

To complete the following procedure, you must be a Search service administrator for the relevant Shared Services Provider (SSP) — for example, for SharedServices1. For more information, see Plan for security roles (Office SharePoint Server).
If you also have administration permissions for the Central Administration site, follow the procedure from step 1. If you do not have administration permissions for the Central Administration site, browse to the Shared Services Administration site (for example, http://[host:port]/ssp/admin/default.asp) and follow the procedure from step 2.

To edit properties and scope rules for a shared scope

Edit properties and scope rules for a shared scope

  1. In the SharePoint Central Administration site, on the Quick Launch, in the Shared Services Administration group, click the SSP (for example SharedServices1). If prompted, provide the shared services administrator user name and password.

  2. On the Shared Services Administration page, in the Search section, click Search settings. On the Configure Search Settings page, in the Scopes section, click View Scopes.

  3. The View Scopes page shows the existing shared scopes for the SSP and all local scopes.

  4. On the View Scopes page, point to the shared scope whose properties or scope rules you want to edit, click the arrow that appears, and then click Edit Properties and Rules on the menu that appears.

  5. You can perform the following operations from the Scope Properties and Rules page:

    • Change shared scope settings

    • Change an existing shared scope rule

    • Delete a shared scope rule

    • Delete all rules for a shared scope

Change shared scope settings

  1. On the Scope Properties and Rules page, in the Scope Settings section, click Change scope settings.

  2. On the Edit Scope page, in the Title and Description section, you can change the Title and Description for the shared scope. To specify a different page to display the results of a search using this shared scope, in the Target Results Page section, type the relative path to an existing results page in an existing Search Center site in the Target results page box — for example, http://contoso:12345/SearchCenterSite/results.aspx.

  3. Click OK to save the changes.

Change an existing shared scope rule

  1. On the Scope Properties and Rules page, in the Rules section, click on the scope rule that you want to change.

  2. On the Edit Scope Rule page, change the existing scope rule:

    • Web address (https://server/site). In the Web address section select one of the following:

      • Folder – Enter a URL for the folder in the associated text box (for example, http://site/subsite/folder). The scope rule applies to items within the folder and its subfolders.

      • Hostname – Enter a host name in the associated text box. The scope rule applies to items anywhere on the host.

      • Domain or Subdomain – Enter a domain or subdomain in the associated text box (for example, widgets.msn.com). The scope rule applies to items anywhere within the domain or subdomain.

    • Property Query (Author = John Doe). In the Property Query section, select from the Add property restrictions list-box one of the available properties, and in the box below enter a value for this property.

      Note

      To make additional managed properties available for use in scopes, go to the Search administration page for this shared service provider, and under Queries and Results click Metadata properties. On the Metadata Mapping page, click on the required property. On the Edit Manage Property page, in the Use in scope section, select Allow this property to be used in scopes.

    • Content Source. In the Content Source section, select one of the available sources from the list-box.

    • All Content. Scope rules of this type will include all the content in the index. There are no properties that you can change for this scope rule type.

  3. For the Scope Rule Type selected, unless you selected All Content, specify how the identified content subset is to be interpreted. In the Behavior section, select one of the following:

    • Include. Items matching this scope rule are included in the search scope, unless excluded by another (Require or Exclude) rule type. By default, Include is selected.

    • Require. Items from other scope rules must match items from this scope rule to be included in the search scope.

    • Exclude. Items matching this scope rule are always excluded from search scope, even if they match other scope rules.

      Note

      If the scope is to have only a single scope rule, the behavior should be set to Include. Require and Exclude are applicable only when the scope has more than one scope rule.

  4. Click OK to save the changes.

    Note

    The Update Status for the scope will be set to Modified. The Update Status will be changed to Ready after the next scheduled update has finished running. You can force an update on the Search Administration site by clicking Start Update Now.

Delete a shared scope rule

  1. On the Scope Properties and Rules page, in the Rules section, click on the scope rule to be deleted.

  2. On the Edit Rules page, click Delete to delete the scope rule.

  3. In the confirmation dialog box, click OK.

    Note

    The Update Status for the scope will be set to Empty if there are no more scope rules. If there are additional scope rules, the shared scope Update Status will be set to Modified; after the next scheduled update has finished running, the Update Status will be changed to Ready. You can force an update on the Search Administration site by clicking Start Update Now.

Delete all scope rules for a shared scope

  1. On the Scope Properties and Rules page, in the Rules section, click Delete all rules.

  2. In the confirmation dialog box, click OK.

    Note

    The Update Status for the scope will be set to Empty.
