Manage user profiles and user profile properties

User profiles contain an organized list of properties about users in your organization. Many of these properties are included automatically when user profiles are first imported from connections to directory services, such as Active Directory or LDAP. Several properties, such as User name and Work phone, are mapped to properties in directory services.

Additional properties can be added to the user profile. These custom properties can be mapped to properties in directory services or to properties in line-of-business applications registered in the Business Data Catalog. Administrators and users can edit values for all properties, depending upon the personalization policy for each property. However, values for mapped properties are changed to match the values of mapped properties every time user profiles are imported.

Administrators manage the list of user profiles, the list of properties displayed in all user profiles, and the values for properties in individual profiles.

Administrators with the Manage User Profiles permission enabled can:

  • Configure profile imports, including the import schedule for both full and incremental imports.

  • Import user profiles.

  • View import logs for user profiles, and then troubleshoot import problems.

  • View user profiles in a list.

  • Add new user profiles for users that are not listed in directory services.

  • Edit individual user profiles by changing the values for one or more properties.

  • Delete user profiles.

  • View and edit an organized list of properties for all user profiles.

  • Add, edit, or delete properties from the list of properties used in all user profiles.

  • Set policies for properties in user profiles.

Manage the list of user profiles

The list of user profiles and their related administrative actions are all displayed on the View User Profiles page.

A user profile manager might want to change the availability of individual user profiles imported from directory services. Rather than change the membership of individual users in directory services, it might make more sense to add or remove an individual user profile to change the availability of information about that user.

User profiles can be added for users not listed in the current connections to directory services. The information in user profiles added this way must be managed manually, and is unaffected by user profile imports. User profiles added in this way will be crawled like other user profiles and can be found by searching SharePoint sites. Personalization features based on user profile properties, such as targeted content based on user profile properties, can be configured for these users.

User profiles can be deleted so information about a user cannot be used in personalization features, even though an individual user is a member of a group imported from directory services.

The user profile manager can view the entire list of user profiles, including user profiles that are missing from the most recent import. For more detailed information about user profile imports, the administrator can view the import log, which is the crawl log for the content sources that are used to import people and groups.

Manage user profile properties

User profile managers also manage the list of user profile properties displayed in all user profiles. The same list of properties appears in all individual user profiles, with different values for each user. Administrators can add or delete properties in this list, and set personalization policies for each property. These settings affect the properties in every user profile. Administrators can also edit the values for any property in any individual user profile, but the value is only changed for a single user profile.

Task Requirements

The following are required to perform the procedures for this task:

  • Administrators must have access to the Shared Services Provider (SSP) administration site, and must have the Manage User Profiles permission enabled.

  • Import connections must have been added for directory services and entities in the Business Data Catalog.
